Sales Support Manager

East Coast, US

About the Role

The Sales Support Manager will be responsible for managing the day-to-day operation of a growing U.S. Sales department, and for assisting members of Prilenia’s U.S. commercial management team through calendar management, travel, event coordination and other administrative projects. 

Responsibilities

  • conflicts, prioritizing, and making judgements and recommendations to facilitate efficient internal and external meeting management.

  • Work closely with VPs and team to keep all relevant parties well informed of upcoming commitments and responsibilities, following up appropriately. Learn individual preferences and expectations, and work proactively to prevent problems before they develop.

  • Create a positive candidate experience though partnering with HR, hiring managers and other relevant staff during the commercial buildout process.

  • Manage and coordinate components of the U.S. launch hiring plan, including travel, reimbursement, and communications and announcements 

  • Assist in onboarding new hires including executive-level employees. Coordinate travel, create agendas, organize introductory meetings, and help new employees acclimate quickly.

  • Work closely with commercial operations lead and team 

  • Act as primary coordinator for national and regional sales meetings, including quarterly business reviews. Serve as the point of contact for all internal and external participants, manage agenda, attendee list and logistics, including budget, booking space (internal or external) and vendor communication. 

  • Build vendor relationships, create, and manage purchase orders and vendor invoices through PO system and follow-up.

  • Coordinate additional events, including team building (both virtual and on site), sales meetings and conferences. Work with presenters, attendees, and vendors, as appropriate, to ensure meeting success and cost sensitivity.

  • Assist with PowerPoint presentations and reference material, including sales staff biographies and all relevant organizational changes.  

  • Work with Compliance when required, including any use of company trade names and images.

  • Research and procure SWAG for team and company. Manage budget, and work with vendors to develop and create Prilenia-branded SWAG. Build employee address and size lists, oversee orders and shipment.

  • Support ad hoc projects.

Key Qualifications

  • 10+ years executive assistant and/or project management experience, working in a high-growth, fast-paced biotech environment

  • Excellent communication (verbal, written and interpersonal), organization and time management skills

  • Strong Microsoft Outlook, Word, PowerPoint and Excel skills, ability and willingness to learn new platforms as needed

  • Proactive and flexible problem-solving, with an ability to manage complex tasks and prioritize competing demands to meet deadlines and handle conflict constructively, including in a remote setting

  • Positivity and service orientation, with a willingness to learn the business and develop additional skills

  • Ability to utilize network to complete requests

  • Flexible work schedule, availability to respond outside general business hours when necessary

  • Ability to work on site and attend in-person meetings when necessary

Nice to Have

  • Prior experience supporting commercial teams in the biotechnology and or pharmaceutical space

  • Experience supporting U.S. product launches

Location/Time/Travel

  • This is a full-time, hybrid position, ideally based in the Boston area.

  • Flexible schedule with potential for interaction across U.S. and international time zones
